1. Purpose and scope
This Code sets the minimum conduct expected of Veltrion Group directors, employees, contractors, team leaders and representatives engaged in fundraising. It applies in the field, during training, through digital and telephone follow-up, and whenever a person could reasonably be understood to represent Veltrion or a client charity.
Client-specific rules, applicable law, venue conditions and campaign instructions operate alongside this Code. Where standards differ, the higher standard should be followed.
2. Our fundraising principles
- Supporter interests, informed choice and dignity come before short-term acquisition.
- Every representation must be honest, clear, accurate and capable of being substantiated.
- Consent must be freely given and may be withdrawn without pressure or disadvantage.
- Fundraisers must identify themselves, Veltrion and the charity being represented.
- Performance expectations must never encourage misleading, aggressive or unsafe conduct.
- Concerns and mistakes must be reported early so they can be addressed properly.
3. Respectful public engagement
Fundraisers must approach people respectfully, read social cues and accept a refusal immediately. They must not obstruct movement, follow a person who has disengaged, enter private property without permission, use intimidating language or create a false sense of urgency.
- Do not target or pressure a person who appears distressed, confused, intoxicated or unable to provide informed consent.
- Use approved campaign information and answer questions accurately; if unsure, say so and seek guidance.
- Respect cultural, linguistic, religious, accessibility and personal differences.
- Follow venue rules, local directions and reasonable requests from authorised personnel.
4. Consent, vulnerability and safeguarding
A donation or commitment is only valid where the supporter understands what they are agreeing to, including the organisation, payment amount, frequency and cancellation pathway. Fundraisers must take extra care where vulnerability may be present and must stop an interaction if meaningful consent is uncertain.
- Never enrol a child or a person who does not meet campaign eligibility requirements.
- Never complete an application on a supporter's behalf beyond permitted assistance.
- Do not retain photographs, notes or personal details outside approved systems.
- Escalate safeguarding concerns promptly to a team leader or manager.
5. Accuracy, payments and personal information
Only approved payment methods and systems may be used. Fundraisers must not handle cash unless a campaign expressly authorises it, record card details outside an approved process, or make promises about tax, service outcomes or the use of funds beyond approved information.
- Collect only information required for the authorised purpose.
- Protect screens, devices and conversations from unauthorised viewing or access.
- Report lost devices, suspected data exposure or payment concerns immediately.
- Never alter, fabricate or submit information that was not provided or confirmed by the supporter.
6. Leadership, training and quality
Veltrion provides campaign onboarding, conduct training, field coaching and quality review appropriate to the work. Leaders are expected to model the Code, intervene when standards are at risk and create an environment where concerns can be raised without retaliation.
Campaign results may be reviewed alongside quality indicators, supporter feedback, cancellations, verification outcomes and complaints. Volume alone is not a complete measure of performance.
7. Breaches and reporting
Suspected breaches should be reported to a team leader, manager or info@veltrion.com as soon as practical. Serious matters involving safety, fraud, harassment, privacy, vulnerable people or deliberate misconduct must be escalated immediately.
Veltrion may pause field activity, preserve records, notify a client, investigate, retrain, discipline or remove a representative depending on the circumstances. Retaliation against a person who raises a concern in good faith is not permitted.
8. Review
This Code is reviewed as operations, client requirements and regulatory expectations evolve. Questions about its application should be directed to Veltrion Group before activity proceeds.
